JOB TITLE: Facilities Operations Manager
DEPARTMENT: Facility Operations, Construction & Real Estate Department
JOB RELATIONSHIPS
Workers Supervised: Assists with the supervision of Coordinator, Administrative Assistant & Office Staff, General & HVAC Mechanics Supervisors & Staff; Porter Supervisors & Staff
Supervised By: Director and Assistant Director of Facility Operations, Construction & Real Estate
Position Objective: A responsive, productive and multi-tasking team player who will manage & support departmental and institutional operations and special events’ needs. Under the supervision of the Director and the Assistant Director of Facility Operations, Construction & Real Estate, the Senior Operations Manager will manage and oversee for quality assurance and efficiency the planning, scheduling, sequencing & phasing of departmental & institutional support tasks, purchasing, events, projects, etc., through the use of vendors, consultants, contractors, and in-house staff, in addition to overseeing the administration of departmental accounts. The Operations Manager will assume a managerial role over select support staff as delegated by the Director and Assistant Director, overseeing and executing the functions of recruitment, performance evaluation, and disciplinary proceedings in conjunction with Human Resources.

Essential Functions:
• Plans, organizes, supervises & schedules vendors, contractors, staff, and the procurement of materials and supplies, etc. as needed for the efficient operation and completion of
departmental support & service tasks, addressing institutional needs and projects within a continuously changing & fast paced environment.
• Responsible for obtaining and maintaining required permits, certificates, etc. related to institutional, all governing agencies & project requirements.
• Oversight of staff administering the development, preparation & distribution of all departmental & institutional documents, including but not limited to institutional notices, e-mails &
memorandums, prebid information, requests for proposals, budgets, contractual agreements, certificates of insurance, bond requirements, meeting minutes, intranet postings, etc.
• Works closely with the Upper Management on the development & preparation of departmental operating & capital budgets.
• Will provide support to the Building Services & Building Systems management staff to ensure the successful completion and quality assurance of day-to-day operational activities by the
porters, housekeepers, general & HVAC mechanical line staff involved with all maintenance related issues and agency related projects, tracking and reporting activities and status, etc.
• Works as a member of management in the handling and processing of confidential information in regards to employees, salaries and budgeting, Human Resource issues, etc.
• Provides regular status reports to upper management on activities related to all departmental and institutional operations, services and projects, ensuring the safety, organization, and
efficient completion, handling any complaints and/or conflicts with proper resolution.
• Oversight of staff administering the departmental accounts including but not limited to all vendors, accounts, maintenance contracts, etc.
• Provide highest possible level of customer service to all 92nd Street Y staff and patrons, and instill in staff the importance of providing the same
• Assume responsibilities of Fire Safety Director on request.
• Operate Fire Alarm and Fire Command Station as requested.
• Respond to any and all building emergencies.
• Performs other related duties as requested or assigned.
Educational Requirements:
• High School Diploma
• College Degree in a related field or Additional work experience can be in place of degree.
Skills and/or Experience Required:
• 3+ years in a Facility Operations Management position with experience in project planning and organizing, with a focus on staff management.
• The ability to manage multiple conflicting and concurrent tasks effectively, ensuring their timely and efficient operation and completion.
• Advanced understanding of building systems is a plus.
• Effective business writing and communication skills.
• Strong understanding of accounting & finance.
• Interpersonal skills necessary to deal courteously and effectively with sensitive and confidential issues by telephone, in writing, and in face-to-face contacts with the public and with
staff at all levels.
• Applicant must be well versed in Excel, Word, and PowerPoint. AutoCAD experience a plus.
Hours of Work:
Initial work schedule is Monday-Friday, 9am to 6pm, 40 hours per week with a 60-minute meal break. Flexibility to change work schedule to include the possibility of one weekend day and/or evening & holiday coverage is required.
