JOB PURPOSE:To deliver a prompt and efficient telephone service through constant communication with all relevant departments, ensure Switchboard offers the highest standards of guest care and service at all times.
Salary Ј9750 per year + benefits Hours of work 6 am - 1430 pm or 1430 - 2300pm
SPECIFIC DUTIES 1.To answer incoming and place outgoing calls in accordance with the procedures and standards outlined in the Switchboard SOP Manual. 2.To take messages and, if for a guest, enter them into the voice mail computer system in accordance with the procedure outlined in the Switchboard SOP Manual. 3.To operate the paging system, including the city pager system to the required standard. 4.To report and log all maintenance faults, which occur on the Hotel`s switchboard and telephone system in accordance with the procedures shown in the Switchboard SOP Manual. 5.To make operator assisted calls for the Hotel guests in accordance with the procedures shown in the Switchboard SOP Manual. 6.To place and meter cash calls for Conference*Banqueting, Business Centre and visitors to the Hotel and post the charges in accordance with the procedures shown in the Switchboard SOP Manual. 7.To ensure the correct class of restriction is always in place for the telephones listed in point 6 above, according to the current "status" of the telephone. 8.To call the Hotel doctor as requested by guests or the Assistant Manager, and to ensure that these calls are accurately logged, in accordance with the procedures shown in the Switchboard SOP Manual. 9.To be fully conversant with the operation of the Hotel`s telephone system, and to be able to respond to requests and faults without delay. 10.To be fully aware of all Hotel promotions and daily in-house functions, and to reproduce a Hotel Function list for the switchboard noticeboard on a weekly basis. 11.To ensure that the Switchboard area is kept clean and tidy at all times and all equipment is handled in accordance with the standards set in the SOP Manual. 12.To record and set all guest wake up calls as requested in accordance with the standards set in the SOP Manual. 13.To control and monitor the handing out of pagers to staff members. 14.To control personnel obtaining staff home numbers from switchboard. Numbers to be given out to Department Heads and Duty Managers only. 15.To place wake-up calls and notify Concierge immediately should a guest fail to respond to their wake-up call. 16.To be fully aware and trained on all relevant standards including Gap, LHW and RAC. 17.To ensure that lines are open, closed and charged correctly for all function rooms on a daily basis. 18.To constantly monitor the voicelink system and to immediately report any faults to TMS. 19.To monitor TMS, Horizon and guest link screens and to inform your Supervisor or the Assistant Manager of any faults. 20.To carry out other reasonable duties pertaining to the switchboard as requested by the Switchboard Supervisor, Assist
